How do I control online booking and cancellations?
Set booking rules, cancellation policy and reminders, and see what patients get when booking is not ready.
How do I control online booking and cancellations?
Go to Settings → General → Bookings & Cancellations. Select Save Settings after any change. Reset to Defaults restores the starting values.
Who can do this: team members who can manage the practice (the check under Manage Org & Assign Roles in My Team).
Booking Settings
- Allow Online Booking: turns your public booking page on or off. Your first save with this on creates the page.
- Require Booking Approval: new bookings wait as pending until staff confirm them.
- Minimum Advance Booking (hours) and Maximum Advance Booking (days): how soon and how far ahead patients can book.
- Buffer Time Between Appointments (minutes): space added between consecutive appointments.
Cancellation Policy
- Cancellation Window: cancelling inside this window is recorded as a late cancellation. GRAICE does not bill for it, so charge the patient yourself if your policy says so.
- Cancellation Policy Text: shown to patients when they book.
Reminders
- Enable Automatic Reminders: under Reminder Schedule, tick 7 days before (Email), 1 day before (Email), or both.
- Include Cancellation Link adds a link to cancel or reschedule in the reminder.
What patients see
- If Allow Online Booking is off, the page shows Booking Unavailable and "Booking page not found".
- A clinician appears on the page only after they set hours under Availability. If none have, patients see "No providers are currently accepting online bookings."
- If the chosen clinician has no hours, patients see "Online booking isn't set up yet" and "Please contact the office directly to schedule your visit." A button to call your clinic appears when your clinic has a phone number.
- If the clinician has not connected Google Workspace, slots show "Subject to confirmation." The provider confirms by email.
