How do I invite staff and set what they can do?
Invite team members from My Team, choose a staff role, and control chart and billing access.
How do I invite staff and set what they can do?
Every team member has one Staff Role, plus switches for chart and billing access.
Who can do this: team members whose role shows a check under Manage Org & Assign Roles (Front Desk, Administrative Staff / All Billing, Full Access).
Invite someone
- Go to Settings → General → My Team and select Invite Member.
- Enter Email Address and Full Name, then pick a Staff Role.
- Set the Access Billing, Access Charts and (Full Access only) Licensed provider switches.
- Select Send Invitation.
The invitation expires after 48 hours. Under Pending Invitations you can Resend or Cancel it. If the email fails to send, the invitation is still saved, so use Resend.
What each role can do
- No Access: no charts, billing or scheduling.
- Clinician (Limited): own schedule, and always marked as a licensed provider. They see their own patients' charts only when Access Charts is on. Access Billing is optional and starts switched on in the invite form.
- Front Desk: the full patient list and demographics (not charts), scheduling for everyone, check-in, clinic settings and roles. Charts and billing are optional.
- Administrative Staff / All Billing: the same as Front Desk, with billing always included.
- Full Access: everything above, plus the audit portal when Licensed provider is off. Licensed provider is optional.
- Auditor: the audit portal only.
Access Charts is off by default. Turn it on for anyone who must open patient charts. It is not available for No Access or Auditor.
For every task and the switch settings it needs, see Who can do what? Staff roles and permissions.
Change or remove someone
- Select the pencil icon on their row, then Edit Permissions. They are signed out and must sign in again.
- Select the trash icon to remove a member. They lose access immediately.
- Under Removed Members, select Reinstate to restore their sign-in and previous role. It does not restore their two-factor setup or patient assignments.
The key icon (Revoke credentials) offers Reset multi-factor for a lost device, or Terminate access for someone who is leaving.
